Clients book on their own on the club website or in the app. The front desk can also book a client from the panel.
How clients book
The client picks a class in the schedule and clicks Book. They need a valid membership that covers this class. If the membership has a set number of entries, the booking uses one entry.
Booking a client at the front desk
- Open the class in Operations → Schedule events.
- In Bookings & waitlist, click Add booking.
- Choose the client and their membership.
In the same list you can Check in a client who came, mark a No show or Cancel a booking.
Cancelling and getting the entry back
In Settings → Settings, under Bookings, you set the Free cancellation window in hours. If a client cancels earlier than that, the entry goes back to their membership. If they cancel later, the entry is lost.
Waitlist
When a class is full and the waitlist is on, a client can join it. They choose until what time they can wait for a place.
When someone cancels, the free spot goes to the first person on the list whose membership is still valid, and they get a message about it. If no spot opens up by the chosen time, their place on the list expires.
The front desk can also move a person from the list into the class by hand with Promote.
Minimum class size
If a class only makes sense with a few people, set the Minimum class size in Settings → Settings, under Bookings. Also choose how many minutes before the class the check happens. If too few people have booked by then, bookings close and you get a notice so you can decide whether to cancel. You can also set a minimum for a single class template.
